Terms of service
Last updated 3 October 2026
These terms apply when you use TerraTecton — the website at terratecton.com and the app at app.terratecton.com — provided by TerraTecton (“we”, “us”). If your agency has signed an order form or agreement with us, that agreement takes priority where it differs from these terms.
1. The service
TerraTectonhelps UK letting agencies run their back office: it reads the agency’s property management data, prepares arrears chases, certificate renewals and repair work for a person at the agency to approve, sends the approved messages, and keeps a record. We may improve and change features over time; we will not remove a core feature your agency pays for without notice.
2. Accounts
- Accounts are for staff of agencies (and their contractors) that we have agreed to serve.
- Keep your sign-in details private and tell us straight away if you think your account has been misused.
- The agency is responsible for who it gives access to, and for what its users approve and send.
3. Your responsibilities
- You must have the right to give us the data you load into TerraTecton, and a lawful basis to contact the tenants, guarantors, landlords and contractors you ask us to contact.
- Messages sent through TerraTectonare sent in your agency’s name and on its instruction. You are responsible for checking them before approval and for complying with the law that applies to lettings, debt collection, consumer protection and marketing.
- Do not use the service to send unlawful, harassing or misleading messages, to break or probe its security, or to resell it without our written agreement.
4. AI and automated drafts
Some content — triage, drafts and answers in the app — is produced by AI and may be wrong. TerraTecton is designed so that a person approves chases and other material actions; it does not give legal, financial or safety advice, and you remain responsible for decisions you make with it.
5. Connected services
You can connect third-party services such as your property management system or a Google or Microsoft calendar. Your use of those services is governed by their own terms. We access them only as described in our privacy policy, and you can disconnect them at any time.
6. Data
Your agency owns its data. We process personal data as described in our privacy policy and, for agency data, as the agency’s processor under our data processing agreement. When you leave, you can export your data, and we delete it afterwards in line with that agreement.
7. Fees
Fees are set out in your order form or on our pricing. Unless agreed otherwise, fees are billed monthly in advance, exclude VAT, and are payable within 30 days.
8. Availability
We work to keep TerraTecton available and secure, but it may occasionally be unavailable for maintenance or for reasons outside our control. Where an approved message cannot be sent, the app shows it rather than failing silently.
9. Intellectual property
We own TerraTecton, its software and content. We give your agency a non-exclusive, non-transferable right to use it for its own business while these terms apply. If you send us feedback, we may use it without obligation.
10. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law. Otherwise, we are not liable for indirect or consequential loss, or for loss of profit, revenue or goodwill, and our total liability in any 12 months is limited to the fees your agency paid us in that period.
11. Suspension and ending
Your agency can stop using TerraTecton at any time, subject to any minimum term in its order form. We may suspend access that puts the service, other customers or the people you contact at risk, or that breaks these terms, and will tell you why. On ending, sections 6, 9 and 10 continue to apply.
12. Changes
We may update these terms. We will post the new version here and, for material changes, tell agency users by email at least 30 days before they take effect.
13. Law
These terms are governed by the law of England and Wales, and its courts have exclusive jurisdiction.
